The brief

To handle the event management of the launch of Qatar Airways’ new Cardiff to Doha route - with only10 days to pull it off!

Key objectives

  • Manage multi-faceted events over two days
  • Create a money can't buy experience -  it had to be the “go to” event of the year and the highlight of the social calendar
  • Provide a high profile artist to perform for a diverse collection of VIP guests, including royalty, the First Minister for Wales and international press representatives at the VIP Gala dinner
  • Create the social media content and buzz to match


Day 1

  • Event managed a red-carpet ceremony for the inaugural flight into Cardiff Airport including, a bespoke majalis (meeting space); media photo walls erected; in excess of 17,000 red roses installed, as well as overcoming challenges such as a changing UK Border Point, and providing entertainment on the tarmac, with a rousing welcome from Britain’s Got Talent finalists Only Boys Aloud. 
  • A VIP reception and dinner held in the spectacular Banqueting Hall in Cardiff Castle in the city centre of Cardiff.

Day 2

  • Managed a press conference for the world press, handling all elements of bespoke set design and build, AV, branding, furniture, decoration, and arranging a reception for the media attending. 
  • Event managed a gala dinner in the grand hall of the National Museum Cardiff for some 200 invited VIP's, involving an extensive bespoke stage and set filling one complete wing of the Main Gallery; and installing internal and external lighting, purples drapes and large format LED and projection screens. 
  • Entertainment at the gala dinner included Classical Brit Award Winners Only Men Aloud, a technicolour performance by the LED Ballerinas, and headliner Paloma Faith, who, with only 10 days notice, would have been almost impossible to secure if it wasn't for our Orchard Live team - highlighting the benefit of our fully integrated approach. 

We project managed the whole event across the two days - with over 150 staff involved, 3 different venues and 12 different subcontractors - all in 10 days! 

Social media response was superb with #cardifftogether getting over 32,000 Social media likes and an estimated social media reach of over 1.3M.
